Certeurope offers a significant advantage: it allows the signing of large documents, including those exceeding 50 MB in size.

It is important to note that the document grouping system offered by Closd is not available with Certeurope.
This means that each document to be signed must be sent individually for signature.

Envelope Consumption
Each document signed with Certeurope consumes one envelope.
Example:
If you have 3 documents signed by 1 signer via Certeurope, 3 envelopes will be used.

Unfortunately, this is beyond our control.

When setting the signature tag placement parameters, if the document is not compliant, the following message will appear :

When the document is rejected in the signing chcklist, the following error message appears as follows :

Here is an alternative option you can try to help resolve these two situations :

1 – Cancel the document to return it to draft status

2 – Print your document to PDF

3 – Replace the original document with the new PDF

How do I use the PDF printing function ?

  • Open your file
  • Select File -> Print
  • Select Microsoft Print to PDF in the dialog box
  • Click on Print and choose a name for your document
  • Save your document in your working environment (desktop for example)
  • Upload it back to your Closd personal space
  • This will enable you to keep the signature tags that have already been set.

What should I do if the problem persists?

  • You can change your electronic signature service provider on our platform or contact our support team.

Save document templates https://help.closd.com/en/knowledge-base/save-document-templates/ https://help.closd.com/en/knowledge-base/save-document-templates/#respond Fri, 12 Jan 2024 15:27:17 +0000 https://help.closd.com/?post_type=ht_kb&p=2362 Use case

You often need to create and re-use standard documents from one project to the next, such as NDAs, subscription forms or commercial leases.

To save time on recurring tasks such as creating and setting up signing sessions, it is now possible to create and save standard document templates in Closd to increase the productivity of your project managers.

This means that you can reuse the same document, which has already been set up for several projects on the Closd platform.

In addition to the document itself, the following parameters can be saved:

  • the signature type (simple, advanced…)
  • the envelope type (single send or bulk send)
  • the number of required signatories
  • the placement of your signature tags.

How to save a template

There are two ways to create a document template.

document templates pop up closd

1. Create a new template

Go to the Signing checklist menu in your Closd project.

Click on the orange + Add button, then on Use a template. A window with your saved templates will appear. The button at top right allows you to Create a template from scratch. You will then be redirected to an interface similar to regular signing session.

Select the document you wish to use as a template (1. Document selection), then proceed to 2. Template settings.

Enter the name of the template, then, as in a normal signing session, select the signature type and the envelope type.

Tip: define a standard naming system that can be easily understood by all subscription users, to facilitate searches in your template library.

You will then be asked to select the Number of template signatories.

You will be able to modify this information at any time.

Number of template signatories

Then select your Template sharing settings for the model with other members of your subscription:

  • Every subscription member: all subscription members, whatever the project and the rights they have been granted, will have access to this template;
  • Custom: select individual members among the users of your Closd subscription;
  • Do not share: other subscription members will not have access.

By default, selected members will not receive a notification. If you want to send them a notification, check the “Send notification” box at the bottom of the section.

The next step in the setup process is to place the 3. Signature tags, just as in a normal signing session, except that instead of placing nominative tags, you will be asked to place generic tags for the generic signatories defined in the previous step: signatory #1, signatory #2, signatory #3…

Once the various elements have been placed, you can save the template by clicking on the “Save” button at the bottom right..

To find and use the template, click on + Add, then on Use a template.

2. Save a document as a template

It is also possible to create a template from an existing document that has already been set up. To do this, click on the 3 dots to the right of the document listed in the Signing checklist, then click on Save as template.

save as a template closd

Enter the Template name. The following elements will be saved from existing documents:

  • Type of signature
  • Envelope type (single send & bulk send)
  • Number of signatories
  • Signature tags for each signatory

You will then be asked to choose the sharing parameters for your template.

Finally, save the template, which will be added to your template library.

How to use a template

To search for a template in your library, click on + Add, then on Use a template.

Tick one or more documents to select them, then click on the Add to signing checklist button.

You will then be redirected directly to the Settings stage of your signature session. The type of signature and the type of envelope will already be filled in according to the template.

All you have to do is name the document to be signed and assign roles to the various final signatories (signatory, validator, etc.).

Finally, you’ll be redirected to the tag placement step, where the tags have already been placed according to the template, and can be modified at this stage. You can then send the document for signature.

The purpose of this document templates feature is to make you more productive, thanks to predefined and easily modifiable templates.

How to chase a signatory? https://help.closd.com/en/knowledge-base/how-to-chase-a-signatory/ https://help.closd.com/en/knowledge-base/how-to-chase-a-signatory/#respond Tue, 11 Jan 2022 17:51:54 +0000 https://kb.oqtopus.fr/?post_type=ht_kb&p=802 Signatories who have not signed are automatically reminded on D+1 and D+4 from the start of the Signing Session. Project Managers can also send manual reminders from the Settings page, by going to the signature tracking section at the bottom of the page.

There are 3 ways to chase your signatories:

3 options to chase your signatories

  1. Chase all signatories of a document
  2. Chase only one signatory of a document
  3. Chase all signatories of the project at the bottom of the page

This only applies to signatories who have not yet signed their document.
Signatories who have already signed are therefore not chased.

How to chase a validator?

Go to the bottom of your project Settings, in the Signature tracking you can chase your validators.

How? Click on the Chase button in the Validators column.

To validate a document in the Signing checklist, the validators must have an activated account. Go the Participants page to check if your validators have activated their accounts.

You can chase a validator only if your document is in “waiting for validation” status.

  2. Click on Add a group at the top right
  3. Drag and drop documents into the boxes on the right in the order you want them to be signed. You can put several documents in each box. Once you have started your signing session, the documents in one box will be sent for signing automatically when the documents in the previous box have been fully signed.

Once the order is set up, it is shown in a column to the right of your signing session.

Once you have defined your signing order, you can start the signing session. A pop-up window will summarize what documents are being sent for signature and in what order.

How do I start my signing session?

Step 1:

To start your signing session right away, click on Start signing and then Start now.

A pop-up window will appear to let you check the content of your signing checklist

Step 2 (optional):

if documents are not signed before the signing session ends, they will turn into “voided” status.

You can add a personalized message to signers. The message will be transmitted to all signatories of the session within their signature notifications.

How do I schedule my signing session?

If your signing session is ready but is not due to start until tomorrow morning, for example, you can also schedule it to start later. To do this, click on Start Signing and then Schedule Signing.

The signing session will automatically start at the selected date and time. You will always have the possibility to change the time and date or to cancel the scheduled session.

Who can see the progress of the signing session?

Only people designated as signatory, validator or observer as well as all the Project Managers can view a document’s status and its evolution (draft, sent, pending, signed or canceled).

How do I know if a Participant has activated their account and done their ID check? https://help.closd.com/en/knowledge-base/how-do-i-know-if-a-participant-has-activated-their-account-and-done-their-id-check/ https://help.closd.com/en/knowledge-base/how-do-i-know-if-a-participant-has-activated-their-account-and-done-their-id-check/#respond Mon, 27 Dec 2021 11:43:24 +0000 https://kb.oqtopus.fr/?post_type=ht_kb&p=446 There are two ways to find out whether a Participant has activated their account and verified their ID, and will therefore be able to access the Project and / or sign documents electronically:

  1. Verify the icons next to the Participant’s name .
  • If the mention “account not activated” is displayed, it means that the Participant has not yet activated their account.
  • To send them an email with a link to activate their account, click on the envelope icon.

If a grey ID card is displayed, it means that the Participant has not yet verified their identity.
The Participant can carry out their identity verification (i) following the prompt that appears upon their first connection, if you activated the Request identity verification option when inviting them to the Project, (ii) prior to carrying out their first Advanced electronic signature (they will be automatically directed to this step upon signing) or (iii) by going to their Profile at any time.

2.  Export the Participants list in Excel or Word format by clicking on Import/Export at the top right of the Participants page. This will give you an overview of the Participants on the Project, and will allow you to make sure that they have activated their accounts and / or completed their ID verifications. Exporting the list in Excel will also allow you to re-invite all the Participants on that Project at once to any other Project.

Account activation is required to access a Project and sign documents using Advanced electronic signature on Closd.
