Electronic signatures. – Closd – FAQ https://help.closd.com FAQ Closd Thu, 07 Aug 2025 07:30:05 +0000 en-GB hourly 1 https://wordpress.org/?v=7.1.3 Using Certeurope for Electronic Signature: How It Works and Impact on Envelopes https://help.closd.com/en/knowledge-base/3740/ https://help.closd.com/en/knowledge-base/3740/#respond Wed, 06 Aug 2025 10:10:02 +0000 https://help.closd.com/?post_type=ht_kb&p=3740 Closd allows you to electronically sign your documents through two providers: Certeurope and Docusign. Certeurope offers a significant advantage: it allows the signing of large documents, including those exceeding 50 MB in size.

It is important to note that the document grouping system offered by Closd is not available with Certeurope.
This means that each document to be signed must be sent individually for signature.

Envelope Consumption
Each document signed with Certeurope consumes one envelope.
Example:
If you have 3 documents signed by 1 signer via Certeurope, 3 envelopes will be used.

How does an electronic signature work? https://help.closd.com/en/knowledge-base/how-does-an-electronic-signature-work/ https://help.closd.com/en/knowledge-base/how-does-an-electronic-signature-work/#respond Tue, 28 Dec 2021 11:12:56 +0000 https://kb.oqtopus.fr/?post_type=ht_kb&p=589 An electronic signature has no graphic representation (the image affixed to the document has only symbolic value). It therefore does have to look like the signer’s handwritten signature. Its validity and probative force lie in the digital data incorporated into the document which guarantees both its integrity and the authentication of the signatory:

– An “authentication certificate” issued by a trusted authority (the certified electronic signature provider) which proves that the identity of the signatory has been previously and duly verified;

– A “fingerprint” of the document (a unique string of characters) to ensure that it has not been modified since signing (the slightest change to the document would modify the fingerprint it generates).

How do I find the credentials of the signatories of a document?

An authentication certificate is produced and archived by Closd upon each ID verification and electronic signature. This certificate is provided to the document’s Recipients along with the signed document. It is accessible via the Project’s My signatures page.

The authentication certificate groups together all the technical information relating to the identity verification (image of the identity document, elements verified, validity of the MRZ code) or to the electronic signature (envelope number, signatory’s email address, IP address, time stamp, technology used, etc.). This procedure meets legal and jurisprudential requirements and ensures the full validity and probative force of electronic signatures.

How can I be sure that a document has been validly signed and that it was not subsequently modified?

The analysis of a document by a PDF reader (such as Adobe Acrobat Reader) determines whether the electronic signature on it is valid. When the document is opened, the PDF reader detects the digital signature data and verifies it:

– It inspects the “authentication certificate” to make sure it is valid, so the signatory’s identity is certain;

– It recalculates the document’s “fingerprint” and ensures that it corresponds to the fingerprint that was calculated at the time it was signed;

If one of these two elements is missing or changed, a message automatically warns the user that the signature is not valid. Specifically, it indicates whether the document has been modified since it was signed. There is therefore no need to digitally initial a document: electronic signature technology plays the same role as a notarial binding.

How do I get the original of a document that I signed? https://help.closd.com/en/knowledge-base/how-do-i-get-the-original-of-a-document-that-i-signed/ https://help.closd.com/en/knowledge-base/how-do-i-get-the-original-of-a-document-that-i-signed/#respond Tue, 28 Dec 2021 11:09:38 +0000 https://kb.oqtopus.fr/?post_type=ht_kb&p=587 You only have access to the original of a document that you have signed if the Project Managers designated you as a Recipient of that document. If you were not designated as a Recipient, a Project Manager can also share the original with you later.

When a new signed document is available, you are notified via an email containing a link to the signed document. You can also access the document by going to the Project’s My Signatures page.

If you have access to several documents, you can generate an archive containing all the documents by going to the Bibles page (if the Project Managers have authorized you to do so).

How do I sign a document electronically? https://help.closd.com/en/knowledge-base/how-do-i-sign-a-document-electronically/ https://help.closd.com/en/knowledge-base/how-do-i-sign-a-document-electronically/#respond Tue, 28 Dec 2021 11:06:17 +0000 https://kb.oqtopus.fr/?post_type=ht_kb&p=584
  1. When you have a document to sign, you will receive a notification by email. Click the Sign button in the email or go to the My signatures page to access the relevant Project.
  2. If you are signing using the Advanced electronic signature and you have not yet completed your identity verification, you will automatically be guided through this step before your first signature.
  3. You are then redirected to the Docusign or CertEurope signature interface. If you are doing an Advanced electronic signature, you will first need to enter your Closd login credentials (email address and password). Click on Continue, and you will be automatically directed to the location of your signature on the document. If you need to put different elements on the document (for example, a mandatory text field or initials, in addition to the signature), you will be directed to each element one by one.
  4. Once you have completed all the items, click Finish. If it is an Advanced electronic signature, you will receive a code by SMS to the number you provided during your identity verification. Once you enter the code, the document is signed.

How do I change my phone number?

If the phone number entered during your identity verification is not correct, you can change it at any time. To do so, exit the signing interface, log into Closd, and then go to your profile by clicking on your name at the top right of the interface. Modify the telephone number in the corresponding box, then click on Validate at the bottom of the page.

You can then return to the signature interface to sign your document, and you will receive the SMS on the correct phone number.

What is identity verification used for? https://help.closd.com/en/knowledge-base/what-is-identity-verification-used-for/ https://help.closd.com/en/knowledge-base/what-is-identity-verification-used-for/#respond Tue, 28 Dec 2021 10:54:46 +0000 https://kb.oqtopus.fr/?post_type=ht_kb&p=572 You must complete your identity verification in order to sign your documents using the Advanced electronic signature. A Simple electronic signature does not require identity verification. The Project Managers choose the level of electronic signature that a document will be signed with.

The identity verification, along with the other means of authentication (connection to the platform, code received by SMS, IP address), makes it possible to identify a signatory precisely and to ensure that the right person signs the document. This is to guarantee the legal security of the Project and the signed documents by compiling a sufficiently large body of evidence. In the event of a subsequent dispute or litigation relating to the Project, Closd will be able to provide such evidence to identify a document’s signatory accurately.

How do I perform my identity verification?

You can verify your identity at several different times:

– Upon your first connection to the platform, if a window appears asking you to do so;

– At any time, by going to your profile (by clicking on your name at the top right of the interface; or

– Before signing your first document with Advanced electronic signature (you are automatically directed to the identity verification when you click on Sign).

Once you have the identity verification window open, fill in the requested personal information and then upload a high-quality, colored scan or image of your identification document (passport, double-sided identity card or driver’s license). Closd reads the ID and verifies that the information displayed on it matches the information entered on the previous screen.

Your phone number is required so that you can receive a code by SMS when signing. You can change your phone number at any time by going on your profile.

An error message appears if you uploaded a copy of your ID that is too poor to be read or if your ID has expired. After 3 unsuccessful attempts, the Closd support team will contact you.

What kind of ID are accepted?

Passports, identity cards, residence permits or valid driving licenses, from all countries, are accepted.

Do I have to verify my identity for each signature?

No. Once completed, your identity verification is valid until your identity document expires. You can therefore sign as many documents as you want using Advanced electronic signature.

A notification will be sent to you if you have a document to sign and your identity document is about to expire.
